Our client is an Aquaculture Training Institute (NGO) based in Abeokuta looking to hire an experienced Administrative Assistant to manage its programme and office activities.


ADMINISTRATIVE ASSISTANT


SUMMARY

In this role, you support the operations by supervising staff, planning, organizing and implementing administrative systems. You act as the point of contact for all employees, providing administrative support and managing their queries.

Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records; ensuring all administrative activities run smoothly on a daily and long-term basis.


ESSENTIAL RESPONSIBILITIES


Assist the Programme Leads with administrative and secretarial duties of the programme

Collaborate with other staff to support programme planning and management

Develop and maintain a documentation system with up to date information for all stakeholders

Work closely with Programme Lead to coordinate relationship with external suppliers

Follow established plans to organize and coordinate all Programme events, undertake all necessary documentation/reporting processes relating to these events

Develop and maintain a system to manage Programme documents and records

Provide support to staff, volunteers, partners, visitors

Perform other duties assigned


ROLE REQUIREMENTS

A Bachelor’s Degree or Higher National Diploma

Minimum of 3 years proven experience in similar roles

Preferably female, between 25-35years

Possess good interpersonal skills

Excellent verbal and written communication in English Language

Ability to lead a team of full time and part-time staff

Flexibility to adapt to new situations, with a positive attitude

Strong computer skills (Word, Outlook, Excel, PowerPoint, internet)

Experience of a demanding workload and ability to prioritize and effectively manage time in order to deliver high quality work to tight schedule

Proven ability to build and maintain relations with colleagues, volunteers, stakeholders, including managing difficult situations

Good basic budgeting and cash management

Possess attention to detail

Possess a constructive and creative approach to problem-solving

Experience working in similar role at an NGO desirable but not compulsory

Resides in Abeokuta or is willing to relocate

Salary offering is negotiable.
